Privacy Policy
Effective October 8, 2026 · Version 2026-10-08
1. Who we are
This Privacy Policy explains how Bid Forge US LC (“BidForge”, “we”, “us”) collects, uses and shares information when you use the BidForge website and services (the “Services”). It is part of our Terms of Service. Questions go to support@bidforge.us.
2. Information we collect
- Account information: your name, email address, password (stored only as a secure hash), your role in an account, and the businesses you can access.
- Business information: what you tell us about your companies, such as names, descriptions, services, NAICS codes, certifications and set-aside status, registrations and past performance.
- Customer content: proposals, drafts, chat messages, files you upload and the content the Services generate for you.
- Billing information: your plan, subscription status and billing history. Card details are collected and stored by our payment processor, Stripe; we never see or store your full card number.
- Records of agreement: when you agree to our Terms of Service and this policy, we record which version, when, your IP address and your browser.
- Usage and device information: how you use the Services, including records of the AI processing your account uses, log data, IP addresses, browser type and the pages you visit.
- Communications: messages you send us and emails we send you.
3. Information about businesses from public sources
To match opportunities, we collect public information about businesses and contracting opportunities from SAM.gov, other government sources and public business listings. This can include a business’s name, address, website, phone number and published email address. We may email a business about opportunities that match it. To stop these emails, ask us at support@bidforge.us.
4. How we use information
- to provide the Services: matching opportunities, drafting and checking proposals, and running your account;
- to process payments, prevent fraud, and respond to billing questions and payment disputes, including by giving our payment processor and card issuers records of your agreement to our terms and your use of the Services;
- to send service emails, such as account confirmations, invitations, billing notices and opportunity matches;
- to secure, maintain, troubleshoot and improve the Services;
- to comply with law and enforce our Terms of Service.
We do not sell personal information, and we do not use your content to train our own AI models.
5. Artificial intelligence processing
To generate drafts, summaries, matches and compliance checks, we send the relevant customer content, business information and solicitation documents to artificial intelligence providers (currently OpenAI) to process on our behalf. To research information for a draft, the Services may also send search queries to a web search provider.
6. How we share information
We share information only as described here:
- Service providers who process it for us, under obligations to protect it: Microsoft Azure (hosting and database), Vercel (website hosting), Stripe (payments), OpenAI (artificial intelligence), a web search provider, and email delivery providers.
- People in your account: the account owner and the sub accounts they invite see the account’s businesses and content they have been given access to.
- Legal reasons: when required by law or legal process, or to protect the rights, property or safety of BidForge, our customers or others.
- Business transfers: as part of a merger, acquisition or sale of assets, subject to this policy.
7. Cookies
We use cookies that are necessary for the Services to work: to keep you signed in, to remember the plan you picked while you sign up, and to remember display preferences. We do not currently use advertising cookies. If we add analytics or advertising cookies, we will update this policy first.
8. How long we keep information
We keep account information and customer content while your account is open, and may delete it after your account ends. We keep billing records, records of your agreement to our terms and related logs for as long as needed for accounting, tax, legal and payment-dispute purposes, which can be several years after your account ends.
9. Security
We use reasonable administrative, technical and physical safeguards to protect information, including encryption in transit and access controls. No system is completely secure, and we cannot guarantee the security of information.
10. Your choices and rights
You can view and update much of your information in your account. You can ask us to access, correct, export or delete personal information about you by emailing support@bidforge.us; we will respond as required by the law that applies to you, and may need to verify your identity. We may keep information we are required or permitted by law to keep, such as billing records. You can stop opportunity emails at any time.
11. Children
The Services are for businesses and are not directed to anyone under 18. We do not knowingly collect information from children.
12. Where we process information
We are based in the United States and process and store information in the United States.
13. Changes to this policy
We may update this policy. We will post the new version here with a new effective date, keep earlier versions available, and notify account owners by email of material changes.
